[Admin report] Billing Case Note Details

The Billing Case Note Details report is used to check billing status of case notes when invoicing, or to find specific case note charges for a VRC, Service, or Customer Account. This is an essential report for troubleshooting billing details, or checking for draft case notes prior to invoicing.

One way to access this report is by going through the Reports tab and the Billing Reports sub-tab:

Another way to access the Billing Case Note Details report is from the Invoice tab under the Reports button:

The report presents a case note level view of all billable activity, including professional hours, travel/wait, mileage, and activity type. The total billing amount for the report is shown at top, left-hand side of the report:

Parameters:

  • Start Date and End Date parameters (required) are applied to filter case notes to what has been completed within the date range.

  • Case Note Status parameter (required) allows you to select only what has been billed (invoiced status), what will be billed (submitted status), what has been completed but is not ready for billing (draft status), or all of the above (All, the default selection).

  • Charge Type parameter (required) is used to select a particular charge type to examine or to include all charge types, which is the default.

  • Accounts parameter (optional) allows you to narrow results to a specific account or group of accounts. If left showing None Selected, all active and inactive accounts (including internal, administrative accounts) will be included.

  • ^Let me pick inactive accounts^ checkbox determines whether inactive accounts are included in the choices for selection in the Accounts parameter. To see only active accounts, leave the checkbox unchecked (the default selection), and Select all from the Accounts parameter.

  • Case Status (optional) allows you to filter results based on case status - Open, Billing Closed, or Closed. The default value is All.

  • Service parameter (optional) allows you to narrow the results to a particular service or services. If left showing None Selected, then all services will be included.

  • Lead VRC parameter (optional) is used to restrict results to billing on cases with a particular VRC or group of VRCs in the Lead VRC role.

  • Timekeeper VRC parameter (optional) lets you narrow the results to case notes completed by a particular individual or team. If left with None Selected, all users who completed case notes for your cases will be included.

  • Include Inactive VRCs checkbox (unchecked by default) is used to include inactive VRCs in the Lead VRC and Timekeeper parameter drop-downs. Inactive VRCs will not be included unless the checkbox is checked, and inactive VRCs are selected in either of the VRC parameters.

  • Claim # parameter (optional) allows you to specify a specific State Claim Number to check the billing for that claim.

Notes:

  • The report is designed for export to Excel for further filtering and analysis.

  • Charge Types include: Prof. Hrs., Flat Rate, TravelWait, Mileage, and Expense.

  • The Status Date column, at the far right, shows the date of the most recent status (for Draft status this is the date the case note was created).

  • If you want to go to a case, click on the Claim Number and a new tab will open with the specific case.
